Submit a Product Brief That Supports a Quotation
Pilevanta Carpet Tiles coordinates commercial and residential carpet tile orders for flooring importers, distributors, contractors and private label buyers. The order process begins with a clear product brief rather than a general request for a price per square meter.
Send your reference model or sample, intended application, fiber, pile construction, backing, dimensions and quantity by colorway. Include destination, requested shipping terms and delivery requirements. We identify missing details before checking suitable series and supply arrangements.
Review Feasibility, MOQ and Quotation Conditions
We review OEM requests with the responsible production facility against material availability, construction compatibility and minimum production runs. Existing series and new developments can follow different routes.
The quotation should identify the proposed specification, quantity basis, packaging scope and any separately agreed development or testing costs. MOQ is confirmed by series and colorway. Proposed timing must account for unresolved specifications, sampling and approval requirements; a quotation alone does not mean production has been scheduled.
Prepare Samples and Record Product Approval
Confirm whether the purchase decision requires an existing swatch, a finished tile or a development sample. During carpet tile sample development, review color, texture, backing, dimensions and adjacent-tile appearance where relevant.
Approval should identify the sample reference and specification version, including agreed exceptions. Required performance documents must match the selected construction. Changes after approval need written review because they may affect cost, minimum quantity, testing requirements or the production window.
Confirm the Order and Release Approved Instructions
Before proceeding, confirm quantities by model and colorway, commercial terms, payment arrangements, inspection scope and packing instructions. Product approval and packaging artwork approval should be recorded separately.
For branded orders, approve carton labels and packaging before packaging materials are prepared. Keep buyer model codes linked to supply references. The production window is confirmed against the agreed order conditions and completion of the required approvals.
Coordinate Bulk Production and Inspection
The approved specification provides the reference for material, surface, backing and cutting checkpoints. Pilevanta coordinates order requirements with the responsible production facility and reviews changes that require buyer confirmation.
Agree inspection criteria before production, including dimensions, squareness, visible surface defects, batch appearance and identification. The final quality inspection scope should distinguish visual and dimensional checks from laboratory testing. Any buyer-appointed inspection requirement must be raised early so access, timing and responsibilities can be discussed.
Check Packing and Shipment Documents
Confirm tiles per carton, square meters per carton, model and color references, batch identification and any pallet requirements. Tiles are packed flat according to the approved arrangement.
During shipment preparation, reconcile carton identification and quantities with the packing list. Review required export documents and delivery responsibilities against the agreed shipping terms. Transit time should be considered separately from production timing when planning the requested arrival date.
Keep Repeat Orders Linked to Their References
For reorders, provide the previous model, color and batch references together with the new quantity. Availability, specifications and current order conditions need confirmation.
A retained sample helps review continuity, but it does not guarantee an identical shade from a later batch. Inform us when replenishment is intended for an existing installation so the color review can address that requirement.
What We Need for a Quote
Send your style reference, technical specifications, quantity per colorway, logo or private label requirements and packing instructions. Add required tests, destination, shipping term and target delivery date.
We will review the matching series, sample route, approval requirements and supply conditions before confirming the next steps.
